Who is responsible

Databrain Solutions Ltd (company 11125639) operates Shipping Directory and is responsible for account, directory and support processing. Registered office: Unit C2 Telford Way, Wakefield 41 Industrial Estate, Wakefield, England, WF2 0XW. Contact support@shipping.directory for privacy questions.

Information and purposes

We use account email and authentication records to provide access; company details, contacts and memberships to provide the directory; private partner records to support your company workspace; and support messages to investigate requests. We process account and service information to provide the service you request under our pilot terms. We rely on legitimate interests to administer business contact listings, respond to support requests and protect the service against misuse. Company representatives must have authority to supply colleagues’ and contacts’ information. We do not use listed contacts for unrelated marketing.

Visibility and partner approval

New profiles start unpublished with private details enabled. Publishing a profile with private details exposes only the company name and city/country to other visitors. Contacts, offices, website, services, memberships and descriptive details remain visible to your authorised colleagues and approved partner companies. Sending a partner request and accepting it shares full profiles between both companies. Only company owners can approve or revoke requests or change profile privacy. Pending and declined requests give no access. Turning off private details makes the published full profile publicly readable.

Revocation removes future access through Shipping Directory. Linked directory partners use current authorised details rather than stored contact copies. Information someone already read, copied or exported cannot be recalled. Private partner categories and notes remain within your company workspace. Network memberships are self-declared.

Service providers and support

The service uses Supabase for accounts and data, Vercel for hosting, and Resend for confirmation and recovery email. The primary member database is hosted in London. Hosting, email delivery and provider support may involve processing outside the UK. Provider processing terms describe applicable safeguards, including contractual transfer clauses and UK provisions: Supabase, Vercel and Resend. Support submissions are sent to Databrain OS with your account email, name, message, topic and Shipping Directory identification. The form does not attach private partner notes or browser history. Support may generate acknowledgement emails and internal notifications.

Browser storage

Your browser stores your sign-in session and interface preferences. The installable app caches public interface files, not private partner records or account API responses. The separate demo uses common fictional data and does not require an account; it is not a way to submit real company information. Signing out clears private member information from the interface.

Retention and your choices

We retain account and company records while needed to operate your account and shared workspace. On a verified closure request we delete or anonymise information no longer needed, after resolving shared-company ownership and any legal or dispute requirements. Closed support tickets are reviewed after 12 months; private diagnostics are reviewed after 90 days, with unnecessary information deleted or anonymised. These are manual reviews. Information needed for an unresolved complaint, dispute, security incident or legal obligation is retained for that purpose. Provider backups and delivery logs expire under the providers’ configured retention rather than being erased immediately with an individual record. Unpublishing removes a profile from discovery but does not close your account or recall information another business already obtained.

You can request access, correction, export, deletion or restriction through Support. We verify identity and company authority before changing shared data. You may object to processing based on legitimate interests. You can raise concerns with the UK Information Commissioner or your relevant supervisory authority.
